Job Description
Summary/Objective
The Executive Administrative Assistant will support the Team BRANDT, LLC Tampa, Florida office in various functions including providing administrative support, calendar management, and ensuring efficient day-to-day operations. The Executive Administrative Assistant may be responsible for confidential and time sensitive material and must be familiar with a variety of office practices and procedures.
The Executive Administrative Assistant will report to the Executive Assistant and work closely with Executive Vice Presidents of the organization.
Essential Functions
- Prepare and distribute emails, internal company memos, letters, and template/forms.
- Submit and reconcile expense reports for the Executive team.
- Coordinate meetings and assist with catering and audio-visual setup.
- Act as point of contact for Executives.
- Review and prepare reports, presentations, and contracts.
- Maintain professionalism and confidentiality.
- Create and maintain an office and electronic filing system.
- Maintain contact lists for events and functions.
- Provide backup for other members of administrative team as needed.
- Performs other duties as assigned.

Professional office environment. This position requires competency in using standard office equipment and software such as Microsoft Office, DocuSign and Adobe.
Classification/Expected Hours of Employment
This position is a full time position and is exempt from minimum wage and overtime pay requirements under federal and all applicable state or local laws. Days and hours of work are Monday through Friday, 8:30 am to 5 pm with a half hour for lunch.
Required Education and Experience
- High School Diploma required.
- Experience in a legal environment preferred
- College Degree preferred; 5 years of experience in an office environment in lieu of degree.
- Knowledge of office management systems and procedures
- Proficiency in MS Office; and working knowledge of office equipment, such as printers, scanners and copy machines.
- Ability to setup and use technology for meetings
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
