Summary/Objective
The HR & Payroll Specialist is responsible for day-to-day payroll and HR administration. This position will work closely with the Human Resources and Accounting teams. The HR & Payroll Specialist will be a backup for various other HR functions. This position will be responsible for providing administrative support to ensure efficient operation of the human resource and payroll departments. The HR & Payroll Specialist may be responsible for confidential and time-sensitive material and must be familiar with payroll practices, payroll software and other human resources systems.
The HR & Payroll Specialist will report to the Corporate Human Resources Director and work closely with all departments within the company.
Essential Functions
- Enters, maintains, and/or processes information in the payroll system; information may include employee’s hourly rates, salaries, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholdings, address changes, and other information.
- Ensures proper processing of payroll deductions for taxes, benefits, and other deductions
- Maintains all payroll information related to the calculation, withholding and remittance of federal, state, and local payroll taxes; enters data, updates information, and prepares reports as needed
- Ensure proper new hire set-up in HRIS
- Preparing and distributing paychecks or direct deposits.
- Prepares employee communications related to employee payroll and benefit administration
- Processes required documents for health and welfare plans, including enrollments, changes and terminations.
- Auditing HR, payroll, benefit and worker’s compensation data for accuracy. Identifies and troubleshoots issues.
- Generating payroll reports and reconciling payroll data.
- Ensuring compliance with federal, state, and local payroll laws and regulations.
- Processing year-end tax forms (e.g., W-2s).
- Resolving payroll discrepancies and answering employee queries.
- Creates and maintains confidential and accurate employee and payroll files.
- Responsible for implementing tools necessary to comply with laws and regulations impacting employees
- Works with accounting, legal and other divisions within the company to exchange data as needed/work on overlapping projects.
- Assisting with auditing processes.
- Responds to inquiries regarding policies, procedures, and programs.
- Helps maintain all personnel files
- Ability to integrate other modules into payroll software (i.e. onboarding, performance mgmt., etc.)
- Performs other duties as assigned

Work Environment
Professional office environment. This position requires competency in using standard office equipment and software such as Microsoft Word and Excel, and a payroll software. Familiarity with ADP is preferable.
Classification/Expected Hours of Employment
This position is a full-time position and is exempt from minimum wage and overtime pay requirements under federal and all applicable state or local laws. Days and hours of work are Monday through Friday, 8:00 am to 4:30pm. There may be work required outside of these hours to complete payroll or other employee related matters.
Required Education and Experience
- Bachelor’s Degree or equivalent combination of education and experience.
- 4 or more years payroll experience required.
- Knowledge of human resources practices, policies, and regulations.
- Experience with payroll software
- Intermediate computer and software skills required.
- Proficient in Microsoft Excel, PowerPoint, and Word
