Job Description
Summary/Objective
Reporting to the Production Director, the Production Administrator is responsible for controlling inventory and scheduling production.
This position reviews, analyzes, and resolves inventory-related issues, plans plant production based on customer orders, establishes and maintains production schedules, tracks the progress of production, and reviews factors that affect production schedules. This role plays an integral part in meeting customers’ needs by ensuring shipments are fulfilled efficiently and timely. This role supports production planning for the Pleasant Plains, IL plant and the Aurora, NE plant.
Essential Functions
Inventory Control
- Executes daily inventory analysis; identifies and resolves discrepancies and problems.
- Responds to employee requests for inventory adjustments, transfers or moves.
- Responds to employee requests when needing research due to items and lot numbers nearing or past expiration.
- Respond to employees request to check quantities or product specifications.
- Systematically reviews/checks inventory for negative items, incorrect moves, transfers or receive incorrect PO’s.
- Systematically reviews/checks BOL’s for possible discrepancies.
- Randomly checks areas in the warehouse for variances or inconsistencies.
- Assist co-workers when they need help solving inventory problems.
- Participates in annual physical inventory processes and systematic controls.
- All other duties as assigned.
Production Scheduler
- Develop the production schedules based on customer orders collaborating with Sales and Operations.
- Coordinate with all involved departments and external customers to exceed the company, departmental, and customer goals and objectives.
- Monitor open orders. For urgent orders, communicate the estimated completion times and notify when orders are complete.
- Evaluate inventory needs of raw materials and packaging materials for production orders.
- Coordinate and request intercompany transfers with Logistics of raw and finished products to/from local and external warehouses as well as from Pleasant Plains
- Meet with suppliers and request materials from outside vendors through Purchasing, as needed.
- Manage process and request batch tickets for the production floor.
- Analyze inventory variances.
- Calculate BOM costing upon request
- Present and coordinate EPA, OMRI, Costco and other audits as needed
- Manage “House Account” customer’s inventory, coordinate production, and customer receipts of customer-owned material
- Coordinate new business with private label customers
- Request and coordinate new item code set up with Regulatory
- Set up packaging and bulk BOM’s in Global
- Coordinate multiple work activities and frequently changing priorities.
- Develop relevant performance metrics, monitor performance, and issue monthly reports.
- Maintains monthly report of key material usage vs quarterly and annual historical usage
- Report potential shortages and costing issues.
- Manage valid priorities and control priorities using appropriate tools (Excel, Outlook and other tools as required).
- Perform all work in accordance with established departmental work instructions.
- Other duties as assigned.
Qualifications:
- 6 Years of experience in inventory control or similar role.
- Advanced knowledge in Word, Excel, PowerPoint, and Outlook and the ability and willingness to learn new software applications.

Work Environment
The physical environment requires the employee to work in an office and warehouse environment with prolonged periods sitting or standing at a desk working on a computer. Frequently works in warehouse/plant in heat/cold conditions. Frequently required to use personal protective equipment to prevent exposure to hazards. Must be able to lift up to 25 pounds.
Classification/Expected Hours of Employment
This position is a full-time, non-exempt position. Typically works 5 eight-hour days (Monday – Friday) with overtime as needed.
Education and Experience
Associate’s degree with 2 years of inventory control/production planning experience OR 5 of inventory control/production planning experience; Or equivalent combination of education and experience.
